YTD Gross, Tax & Net
This window provides information about an employee's Year to Date, RDO, and Hours Worked.
Prerequisite
- There is no prerequisite in using this screen.
Rules and Guidelines

This screen provides the Year End Processing Status tracked via the two fields Payment Summary Status and STP Summary Status, which determine employee's outcome through Finalisation (Year End Process).
- The only time this window should be used for data entry is at the time of initial file creations.
- When an employee is selected, all YTD Gross, Tax and Net values are displayed.
- If any of the following three fields are changed, this could cause the employee's records to become out of balance:
- Year to Date Taxable Gross Pay
- Year to Date Tax
- Year to Date Net
- Alterations to values should be made through Payroll transactions such as in Rebank, Prepayments, etc.
- The Payrun Process maintains information on this window.
- Some year to date values shown are used in the recalculation and comparison process when running the YTD Integrity Check report.

Payment Summary Notification can be emailed to employees.
- Information entered on this window will be accessible to the employee when logging in to Employee Self Service.
Field Information


This displays the employee's gross earnings before tax and not gross payable.

This displays the amount of tax that has been deducted from the employee's pay, including any additional tax taken using the Allowance/Deductions window, that removes extra tax.

This displays the year to date net amount paid to the employee.
The Taxable Gross, Tax and YTD Net fields are closely related to the details on the Year to Date Hours and Year to Date Allowance/Deductions window.
- If the value in the Taxable Gross, Tax and YTD Net fields are changed, the Employee YTD values could become out of balance.
- Once this file is set up and balanced, all alterations to these amounts should be made through payroll transactions.

If a rounding value was setup on the Tax & Rounding window, the result of rounding up or down is kept in this field. It is then taken into account in the next Pay Calculations. That is, the next time the employee is included in a payrun.

This is the foreign income that is exempted under either Section 23AG (exempt foreign employment income) or section 23AF (approved project exempt foreign employment income).
- This field appears on the PAYG Payment Summary - Individual non-business form.

The RESC value is populated by the Additional RESC Import process.

This displays the date of the last pay calculation that the employee was included. The value in the other fields on this window are as of this date.
Example: This could be the date of the last Payrun or if the employee was paid three weeks annual leave in advance, the end date of the employee's leave. This date can be used to automatically suppress an employee's auto pay until after the date has passed.

This displays the employee's Non-Cash Benefits Amount value.
This is used for reporting on the Payment Summary at Year End.

This displays the value of the Reportable Fringe Benefit Amount for the employee.
This is used for reporting on the Payment Summary at Year End.

This check-box determines whether an employee is exempted from paying Fringe Benefits Tax (FBT) or not. Reportable fringe benefits are used in calculations of the employee's adjustable taxable income for family assistance payments and other income tests, if applicable. An exempt type indicator will adjust these calculations.
Leaving this check-box blank means that you have selected No (N).
The check-box resets to blank when the Close Year End is run. If the Reset Close Year End is run, then they will be displayed as they were prior to the Close Year End.
This will continue to be greyed out until a positive value is entered in the Reportable Fringe Benefit Amount field.

The FBT Exempt should only be ticked (set as Y) if the Payer is eligible for exemption from fringe benefits tax as described under section 57-A of the Fringe Benefits Tax Assessment Act 1986.
FBT exemption refers to a payer of the payee you are either:
- A registered public benevolent institution that is endorsed by the Commissioner of Taxation as eligible for exemption from Fringe benefits tax;
- A public hospital;
- A hospital carried on by a society or association that is a rebatable employer;
- A health promotion charity that is endorsed by the Commissioner of Taxation as eligible for exemption from Fringe benefits tax; or
- You provide a public ambulance service.

All other payers, irrespective of your eligibility for exemption from Fringe benefits tax, must be unticked (N) in the FBT Exempt.
If the Reportable Fringe Benefit Amount field is zero for all employees, then the FBT Exempt must be unticked (Blank).
Note:

If the Reportable Fringe Benefit Amount field is greater than zero, then the FBT Exempt must be reviewed and the user should decide whether to tick the option or leave it blank. If the Reportable Fringe Benefit Amount field is zero, then the FBT Exempt must be blank/unticked.

If an employer provides multiple fringe benefit amounts to the same payee in the same fringe benefit period, and at least one amount complies with section 57A of the Fringe Benefits Tax Assessment Act 1986, and at least one other amount does not comply, then two separate payment summaries are required.

Fringe Benefit values can be imported through the FB Import tab.


Bank Hours are accumulated based on RDO rules set against the Base Hours Code allocated to the employee on the Payment Details window.
- The value can be either positive or negative value. A negative value usually occurs when RDO hours have been overpaid.

This is only used if the employee's award requires that the RDO be paid at the rate at which it was accrued. Otherwise, if the RDO is paid at the current rate, this field is not used.


If calculating employee Leave Accruals based on actual hours worked, Preceda automatically accumulates the hours in this field.
- To be selective on what hours are considered, the relevant Hours Type records must have Y in the Include Hours Worked in Leave Accrual field.
- When the hours are used to calculate the accrual, the hours are cleared.
Note: The value in this field will be retained for an Employee (and will not be zeroed out) when performing an Employee Company Transfer.

This automatically accumulates the total number of hours worked by an employee since the hire date. The hours included are controlled by the Hours Type Codes window and must contain a Y in the Hours Worked Since Hired field.
- The value is for reference purposes only and is not used anywhere else in Preceda
- A suggested use for this field is to store Apprentice hours to determine when an apprentice employee should pass to the next level.
Note: The value in this field will be retained for an Employee (and will not be zeroed out) when performing an Employee Company Transfer.

This value indicates if a Payment Summary has been issued for the employee for the current year and if this information is to be transmitted to the ATO.
You can only select option I or N for this field. Options A and X are system-generated.

This field will automatically reset to N during the Closing Year End Process.
This field is automatically maintained by:
- Printing the Payment Summary - This sets the value of this field to A or X. Employee details cannot be maintained and payrun transactions and Year to Date adjustments for the employees cannot be processed until the Close Year End process has been run.
- Close Year End - This sets the value of this field to N for the new financial year.

This is the accumulation of Service Hours for the Salary Code.
Note: The value in this field will be retained for an Employee (and will not be zeroed out) when performing an Employee Company Transfer.

Indicate if Payment Summary Notification will be emailed to the employees or not.
Ticking this box means that the Payment Summary Notification will be emailed to the employees.
The label of this field depends on the PREVAR *PAYSUM_EMAIL Position 1. Setting Position 1 to Y, the field label will display as Email Payment Summary. If Position 1 is set to any value other than Y, the field label will display as Email Payment Summary Notification.
This field only relates to Legislated Payment Summaries and has nothing to do with STP Summaries.

This keeps track whether an employee has been processed by the Finalisation process for STP or not.
You can only select option I or N for this field. Options A and X are system-generated.

The value in this field is automatically determined based on the values of Payment Summary Status and STP Summary Status fields.
