Headcount vs Approved Numbers

This report displays a headcount at the time of running. It is based on the data entered on the Organisation Units window to collate employee numbers in positions within each nominated organisation unit. This report also compares headcount with an 'approved' figure that is recorded within the organisation unit window.

Rules and Guidelines

  • If the report is run with selected organisation units, the first page of the report will show the parameters selected.
  • If the option Select the Organisation Level to Sort the Report by is chosen, the resulting report will list the organisation units down to and including the level selected.
  • If the option Enter the required Organisation Units to Report on is selected, the resulting report will list a count of each organisation unit selected, including the figures for any organisation units that belong to the selected units and have been flagged in the Include in Headcount Report field on the Organisation Units window.
  • If the organisation unit chosen belongs to another organisation unit selected, the report will count the total of the unit from the lower level structure. This count will not be included in the figures for the higher level structure.
  • Count & Budget values are rolled up to the lowest organisation unit level selected if the organisation units, belonging to the selected unit, are flagged to be include in the headcount.
  • For each unit/level reported, the Headcount Budget figure from the Organisation Units window will be reported and a Difference column will show the comparison.
  • For an organisation unit that has not been selected, but appears on the report as part of the organisation structure, four asterisks will be reported for the Headcount.
  • The report will include totals of each of the parameters selected and overall total at the end.
  • The report will count active employees in an organisation unit in the format requested. It will also report the results of the comparison to the number of approved employees for that organisation unit.
  • The number of Approved Employees must be established in the Headcount Budget field on the Organisation Units window.
  • The report will count by organisation unit for a selected level or by selected organisation units.
  • When this report is run using the Organisation Unit method, the maximum number of organisation units that can be entered is 50. Subsequent runs will have an increase of 50 each time.
  • The previously entered parameters will be displayed.
