Workflow Delegation

This window enables the Administrator to setup delegations for other users at Workflow.

Rules and Guidelines

  • To turn the delegation on, the box 'Turn delegation on' must be ticked.
  • Delegation may be permanent or temporary (e.g. when a manager goes on leave).
  • The workflow delegation can only be made to an employee who is a Preceda User at the same time.
  • The delegations may all go to the same user as long as the user is Type 2 = Standard.
  • Access to the Review Leave Applications window needs to be activated for the delegated user so that he/she will be able to use this feature.
  • If a user has been delegated a task, they can in turn delegate it to another user. For example, if Manager A has delegated the leave applications to Manager B, but Manager B suddenly becomes unavailable for that period, he can delegate the leaves to Manager C. As a result, when the employee of Manager A applies for leave, it will be delegated to Manager C.
  • For cases where the delegated user has limited security access, he/she will still be able to approve the leaves of users that he/she is normally not able to view. However, the delegated user will not be able to view employee details in other windows except for the purpose of approving the leaves for those particular employees.
  • When the delegated user approves, declines or sends back the leave application to the employee for more details, an email will be sent to the employee, the delegated user, and the original manager specifying details about the leave application status.
  • On the Review Leave Applications window, a delegated icon will display on the leave request that has been delegated. Hovering over the icon will display the name of the manager to whom the delegation was done.
  • The TSELIST file contains a record for each delegation so that leave requests can be traced.
