Pay slips - Collection Folder

This window enables you to generate Pay slip Files required for interfacing to a number of external Human Resources Information System (HRIS) such as Payroll Exchange (PEX) and Workday.

The Pay slips - Collection Folder process is used to generate a single ZIP file which contains multiple PDF documents, with each PDF document representing an employee Pay slip.

Prerequisites

  • This window will only be made available when the Position 1 of the PREVAR setting *PAYSLIP_COLLECT is populated with a valid value.
  • If using the Generic or EuHReka naming convention, all required employees must have Pay slip Type set to Blank on the Payment Details window, or they will be excluded.

Rules and Guidelines

  • Pay slips can only be generated by this process when the Payrun status is at Master File Update Complete.
  • The Pay slip Files generated on this window can be downloaded as a ZIP File using Preceda Connector.
  • This ZIP file will contain separate PDF Files for each employee Pay slip. Connector will then delete the ZIP File on the IFS so that the next download will only include the latest ZIP file created.

  • Upon Run Process, if Prevar *PAYSLIP_COLLECT Position 3 is set to 'P', this will also generate the Pay slip Manifest File in PEX Format. This file includes all information required, including Gross & Net values.

    This Manifest File, which is a CSv files, is saved within the Pay slip ZIP File along with all the other PDF Files.

  • If you are working in a PEX-enabled database (i.e. Prevar *PP_EXCHANGE Position 1= Y), Pay slips - Collection Folder must only be run from within an Environment because this process generates an Outbound file to be sent to PEX. PEX requires separate files for every Payrun Group where every file follows a naming convention. Thus, this process looks at the Environment to find the Payrun Group, Period Number (from Payroll Calendar found on the record which has the required combination of Payrun Group and Pay Frequency 1 from Payrun Register screen), and GCC and LCC.
